FileNet vs. Other Content Management Systems

What is FileNet?

IBM FileNet Content Manager, or FileNet, is an electronic repository where documents and images are stored for enterprise companies. FileNet is the component; it’s the main account of record for documents, including versioning and metadata for search and retrieval processes. While FileNet can (and does!) store statements and similar documents, it also does much more. Each of these storage categories has fields/index values with associated metadata. This metadata leads to better search results by standardizing and categorizing all of your various types of content, which makes finding the information you need a breeze. You can also leverage your content with important tools and programs. Applications like Datacap, Enterprise Records, and more, integrate into FileNet. You can learn more about FileNet here.

Who Else Offers These Content Services?

As many organizations continue to transition from paper to digital documentation, the need for excellent content management systems has grown. Organizational leaders need to be able to find data and establish workflows that help employees work smarter, not harder. These leaders also need to be able to trust that these systems will keep their content and associated data secure, while also not preventing people who genuinely need access from opening files.Several companies provide solutions to these problems by offering data storage services and content management systems. LaserFiche, M-Files, DocuShare, OnBase, and DocuSign CLM all offer similar services to FileNet. Let’s take a look at how they compare.

LaserFiche

LaserFiche’s CMS allows users to digitally capture, secure, and organize content across the enterprise. The accepted content types include documents, images, videos, and more. The capture feature is similar to FileNet’s, which also allows users to capture these content types. Both FileNet and LaserFiche offer cloud storage; however, FileNet offers elastic cloud storage, which LaserFiche does not.LaserFiche users have had difficulties with using the CMS’ (Content Management System’s) forms. Some state that it can be difficult to find and correct glitches between forms and the process diagram. Others say that form submission limits hold back their organizations.

M-Files

M-Files offers document management and a connected content services platform. FileNet also offers these essential services. Both M-Files and FileNet use artificial intelligence technologies to break down content and data silos.M-Files emphasizes its cohesive integration for Microsoft 365 users, which will be a benefit for some. However, in general, some M-Files users have struggled with file naming in the CMS. Some users have also had issues with files crashing, and M-Files not being able to recover the latest version of the file.Unlike M-Files, FileNet is not geared toward any specific tool such as Microsoft 365. With FileNet, you’ll experience more comprehensive integrations with a variety of tools.

DocuShare

DocuShare from Xerox is a cloud-based ECM (enterprise content management system) that can be deployed on-site or via a private cloud. DocuShare is geared towards healthcare, government, and education, while FileNet is used by enterprises across every major industry. FileNet offers the ability to sweep the exact content you desire for consistency, while DocuShare does not. When it comes to DocuShare’s software, there have been a few bumps in the road. Some DocuShare users report that the software will either fail to process documents or process them so slowly that it’s ineffective. Others are dissatisfied because of a lack of meaningful canned reports, such as user activity, that the program can run for you. Many user reviews indicate that when you invest in DocuShare, you’ll experience a slower ROI than with other content management systems like FileNet.

OnBase

OnBase is a single enterprise information platform that centralizes all content in a secure location. Similar to FileNet, OnBase is built on a low-code configuration. The platform is capable of ECM, case management, BPM, records management, capture, and other features. FileNet also offers all of these important features for its users. Many OnBase users report that the tool is not intuitive to use and that extensive training is needed to utilize it effectively. When an error occurs, there does not seem to be enough details about what happened. On the other hand, FileNet’s capabilities are intuitive and straightforward.

DocuSign CLM

DocuSign CLM (customer lifecycle management) promises to streamline your contract lifecycle. The software allows users to create and maintain party lists, upload contracts to a corresponding party, and view party contact information, contracts, and types as well as expiration dates.Similar to FileNet, DocuSign offers a high level of security that’s compliant with SOC 2, HIPPA, TRUSTe, and FedRAMP. While DocuSign offers a centralized searchable repository, FileNet’s search features offer more information for the best search results. Click here for a list of IBM FileNet search capabilities.DocuSign’s emphasis is on sales and business contracts. It does not seem to be as applicable to other use cases. With this narrow focus, its technology is likely not as adaptable or as easily integrated with other applications as FileNet is.

Wrapping Up

LaserFiche, M-Files, DocuShare, OnBase, and DocuSign CLM all offer content management systems that provide solutions for enterprise organizations. While there are many CMS providers, FileNet has historic roots as a tech pioneer. With FileNet’s fully-integrated framework and the power of IBM’s Automation portfolio including tools like Datacap, there are many possibilities for organizing content and data for success. FileNet is offered by DAS, which has been in business since 1991 and has been a FileNet partner since 1994.
